We recommend booking 2–4 weeks in advance, and earlier for multi-day conferences or events during busy seasons. Earlier booking gives us more time to select staff who fit your audience and to prepare them for your agenda. We also accommodate last-minute requests, subject to availability.
Yes. Our speaker and VIP hosts can greet guests on arrival, manage green rooms, escort speakers to their sessions, and help them stay on schedule. Share your speaker list, timings, and any special requests in advance so the team can prepare.
Yes. Our session room hosts can greet attendees, assist with seating, give speakers time cues, and help run Q&A with audience microphones. They follow your agenda and coordinate with your event team to keep sessions starting and ending on time. Technical AV support is handled by your venue or AV provider.
Yes. We staff conferences in hotel ballrooms, conference centers, corporate offices, university campuses, and other venues across our 10 U.S. locations. Our team adapts to each venue’s layout and policies and coordinates with venue staff when needed.
Yes. Share your agenda, venue map, key contacts, brand guidelines, and any talking points in advance, and we’ll include them in the team briefing. Your on-site staff captain makes sure everyone knows their role, schedule, and priorities before attendees arrive.
Pricing depends on your conference’s location, staff roles, team size, shift lengths, number of event days, and any additional requirements, such as bilingual skills. Rates typically range from $37–$55 per hour, with a five-hour minimum per staff member; large orders and recurring conferences may qualify for custom pricing.
